How the estimate works
The selected role sets a different full-day output. Hygienists receive direct provider production. Dental assistants and ortho assistants receive the production of the provider schedule they enable. Reception receives total practice production, then applies a smaller editable exposure percentage because a front-office call-out rarely stops every chair.
Same-day backfills preserve production immediately. A later rebooking recovers production only when it fits into a genuinely unused future appointment. The calculator fills those openings first, then treats every remaining rebooking as displacement rather than recovery.
Existing-patient displacement uses the average production of the affected schedule. New-patient displacement uses the separate first-visit value you enter. The calculator compares the production placed into those filled slots with the production pushed out, so a lower-value rebooking can make that future day less productive.
Additional future value applies only to displaced new patients and sits on top of their first-visit production. This keeps the initial appointment and the later patient relationship separate, so they aren't double-counted.
Cancellation cost adds lost contribution, rebooking labor, optional replacement cost for patients who don't return, and optional catch-up costs. Coverage cost adds the Full Service shift cost and any cancellation loss left when the temp preserves less than the full schedule.
The displayed rate starts with the selected WORKFORCE pay rate, adds the editable payroll burden, then adds the $15 hourly Full Service charge. Full Service also moves payroll, workers' compensation, liability, classification, and payment administration to WORKFORCE. Those transfers matter operationally, but this calculator doesn't invent dollar values for them.
Fixed rent and existing salaried payroll are excluded because they generally remain in both choices. This is a decision estimate, not net profit or a quote.

The goal is simple: get the right support into the office so the patients you've already booked can keep their appointments.

Temp coverage is built for real gaps:

A clear request makes it easier to assess whether someone can cover your shift. Start with these four details:
- The role: hygienist, dental assistant, or front-office support, plus any credentials or experience the shift requires.
- The date: today, tomorrow, or the dates of a longer gap.
- The hours: start and finish times, including when the professional needs to arrive.
- The location: your office address, with any useful parking or arrival instructions.
Once coverage is confirmed, give your team a short handover plan: who'll welcome the temp, where to find supplies, and what they need to know about the day's schedule.
